Communication

The best ways for us to keep in touch outside of our monthly bridal check-ins are by email and/or VOXER.

Our Expectations of You:

  • Check your emails regularly for correspondence from our team

  • Do not give out Courtnie’s personal contact information to guests.

Please send all requests pertaining to your wedding ceremony/reception to the weddings@travel-bash.com inbox.

If you have questions about the travel portion of your big day, you may send those to support@travel-bash.com as that will be the go-to travel hub.

Please note that we try to respond within one to two business days. Please be patient, as we often assist multiple clients at once. While we will be intensely dedicated to creating your #BestDayEver, we also intend to maintain some work-life balance: please contact us between 9:00 a.m. and 4:00 p.m. EST.

Emergencies

If you have an emergency, please email us URGENT in the subject so we can prioritize accordingly. While traveling, you will have access to our In-Travel Support text line, but please only use this when traveling (561) 576-9508.

Pricing

We do not provide quotes over the phone, and we do not discuss wedding and/or travel details via Facebook or social media platforms. Please do not send us social media messages or tag us in groups. All requests need to be handled via email so that we can keep track of all correspondence.

Expectations

We will email you wedding options, resort information, payment requirements, and more so you can quickly review them and reply as needed. We will also provide clear deadlines and relevant next steps throughout the planning process. Most wedding coordinators will not reach out to finalize any details before the 3-month mark, so please do not panic if you haven’t heard from yours. We are accustomed to this and have created a few helpful documents to help you as you plan, including our Destination Wedding Timeline in your Client Folder on Google Drive.

In addition, the onsite team will send you several documents to fill out by a specific deadline. It’s much better to submit these sooner rather than later. Requests like reception playlists, must-have shot lists for the photographer(s), and seating charts usually aren’t needed until 30 days out.

Getting Started

1) As mentioned, please keep a notebook for your wedding. This will help you feel organized and prepare you to discuss your vision. We also suggest adding essential deadlines and reminders to all calendars so you don’t forget anything.

2) When it comes to deciding the particulars, use your gut. It’s your day and your decision. If you want quirky, OTT lush, or just super simple – go with it because it is your day! You don’t have to have permission from everyone else (besides, perhaps, your partner). 

3) Budget reasonably. We suggest you divide your wedding budget into “For You” and “For Guests”. Think of the venue/catering as almost half, and then photography/videography and all the other areas at 10% or less. We have a helpful budget worksheet that will allow you to allocate your wedding budget appropriately.

4) Destination weddings have some built-in frameworks—or, as some might say, limitations. For instance, the resort might not allow outside vendors or might not allow you to ship decorations to the location ahead of time. Don’t be discouraged by this; part of the appeal of a destination wedding is to have an amazing BASH without overcomplications. We will discuss options and do our best to work with all vendors to meet your expectations. 

5) If you plan on creating your very own wedding website, which we recommend, we suggest copying and pasting the exact information from our Guest FAQs so guests receive consistent communications.

Social Media

Some couples love it, while others stay away. Regarding social sharing, we recommend you do whatever works for you.

Many brides create a #hashtag for the wedding and love to share it with guests so that they are tagged throughout the weekend. Some even set up a private Facebook Group to share information all in one place. This can be useful for contacting guests, but please note we will not provide quotes and confirm reservations via any social media platform. If you create a group, you will be the main point of contact. We will send all correspondences via our CRM system, including auto payment reminders and other pertinent information for your guests’ trip.

We want to share the excitement of your big day, so please tag us in pics, and feel free to share photos using #TravelBash.

Our planning resources cover everything from invitations to registries to marriage licenses and menus. Not only will your destination wedding be the day of your dreams, but the preparation will be as stress-free as possible.

Whether you’re TSA-approved or have global entry status, review our travel resources before packing. We have information on everything you need to do before you go, including what to bring, how to transport items, and so much more.

After booking your event with us, it is important to have all the necessary insurance information and payment schedules ready for your reservation. We have also created a section that covers all frequently asked questions (FAQs) for your guests, which you can redirect them to from your wedding website. This section includes information on additional activities and excursions that your guests can enjoy during their stay.
